BASIS App Setup & User Guide

Welcome to BASIS. Our autonomous engine connects directly to your HubSpot CRM to monitor your Closed-Lost deals, track when your past champions change jobs, and automatically draft hyper-personalized outreach emails to help you win them back.

Here is how to get the engine running in under 2 minutes.

Step 1: Install and Authorize

  1. Navigate to the BASIS App listing in the HubSpot App Marketplace and click Install App.

  2. You will be prompted to select your HubSpot account. Choose the account you wish to connect.

  3. Review the requested permissions. BASIS only requires minimal access to read your deals and contacts, and write notes to your timeline. We do not edit your pipeline data.

  4. Click Connect App.

Step 2: The Autonomous Sweep

Once installed, there is no dashboard to configure and no settings to manage. BASIS is an invisible, autonomous engine.

  • Every night, our system securely sweeps your CRM for deals in the "Closed Lost" stage.

  • We identify the primary contacts attached to those deals and run a live, external data sweep to determine if they have recently changed companies or received a promotion.

Step 3: Actioning Your Alerts

When BASIS detects that a past champion has moved to a new company, it acts immediately:

  1. The engine drafts a highly personalized, executive-level cold email designed to secure a "90-Day Quick Win" at their new company.

  2. This drafted email is pushed directly back into your HubSpot CRM.

  3. Navigate to the original Closed-Lost deal record in HubSpot. You will see a new pinned Note titled 🚨 [BASIS APP ALERT].

  4. Simply review the AI-drafted email in the note, copy it, and send it to your champion to rebuild the pipeline.

Support & Upgrades

Your active plan determines how many Closed-Lost deals we track and how frequently we sweep your pipeline. You will receive an automated email notification if you reach your plan's tracking limit, with instant options to upgrade your capacity.
